WHAT is EDRMS?

EDRMS or Electronic Document and Records Management Systems are software applications that capture paper and electronic documents or records and provide for the storage, retrieval, security and archiving of those documents and records. Records management is a set of recognized practices related to the life cycle of records.  Records can be defined as information that serves as evidence of the business activities of an organisation.

 

The document management process begins with the preservation of electronic documents and records in their original form, or the conversion of paper documents and records to electronic files, commonly referred to as Digitising or Scanning.  Document management applications enable more secure and efficient distribution of and control over all information, throughout the organisation. These software programs simplify business processes by automating repetitive procedures, document routing and email handling through:

 

· Warehousing with searching-and-indexing technology

· Records Management

· Content / Knowledge Management

· Collaboration / Work-flow engines

· Version control

· Electronic forms management

 

Every company deploying an EDMS doesn't necessarily need all of the components.   

 

Document management systems expedite business processes by allowing instant access to information; greater collaboration within and among departments and offices; enhanced security for files and records; and the application of procedures that facilitate compliance with record-keeping requirements imposed by SARS, ECT Act, PAI Act, FAIS, FICA, NCA and any other legislation that may apply.  Compliant EDRMS or ECM is in fact a process, more than a system.
